Creating and Configuring Classrooms

Set up age-appropriate classrooms that meet your church's Sunday school and children's ministry needs.

Basic Classroom Setup

  1. Navigate to Children → Classrooms
  2. Click Create New Classroom
  3. Fill in the classroom details:
    • Classroom Name: Descriptive name (e.g., "Preschool 3-4 Years", "Elementary Grades 1-2")
    • Description: Brief description of the classroom's purpose
    • Age Range: Minimum and maximum ages for the classroom
    • Grade Range: School grade levels (optional)
    • Capacity: Maximum number of children the classroom can accommodate
    • Location: Room number, building, or area description
  4. Set the classroom status (Active, Inactive, Seasonal)
  5. Save the classroom configuration

Advanced Classroom Configuration

Schedule Settings:

  • Meeting Times: When the classroom meets (Sunday morning, evening, etc.)
  • Duration: Length of each session
  • Frequency: Weekly, bi-weekly, or custom schedule
  • Start/End Dates: For seasonal programs or special series

Safety and Ratios:

  • Adult-to-Child Ratio: Required ratio for the age group
  • Minimum Adults: Minimum number of adults required
  • Maximum Children: Safety capacity limit
  • Special Needs Support: Additional adult requirements

Recommended Age Groupings

Early Childhood:

  • Nursery: 0-18 months
  • Toddlers: 18 months - 2 years
  • Twos: 2-3 years
  • Preschool: 3-4 years
  • Pre-K: 4-5 years

School Age:

  • Kindergarten: 5-6 years
  • Elementary: Grades 1-2
  • Elementary: Grades 3-5
  • Middle School: Grades 6-8
  • High School: Grades 9-12

Classroom Resources and Equipment

Physical Resources:

  1. Go to the classroom profile
  2. Click Resources & Equipment
  3. Add available resources:
    • Furniture: Tables, chairs, storage units
    • Technology: TV, projector, sound system, tablets
    • Supplies: Art supplies, books, games, toys
    • Safety Equipment: First aid kit, emergency supplies
  4. Track equipment condition and maintenance needs
  5. Set up equipment checkout system if needed

Child Assignment and Management

Efficiently assign children to appropriate classrooms based on age, grade, and special considerations.

Automatic Assignment Rules

  1. Navigate to Children → Assignment Rules
  2. Create assignment rules based on:
    • Age-Based Assignment: Automatically assign by birth date
    • Grade-Based Assignment: Use school grade levels
    • Sibling Preferences: Keep siblings together or separate
    • Special Needs Considerations: Assign to appropriate support classrooms
    • Capacity Limits: Respect classroom capacity constraints
  3. Set rule priorities and exceptions
  4. Test rules with sample data
  5. Apply rules to assign children automatically

Manual Assignment Process

Individual Assignment:

  1. Open the child's profile
  2. Go to Classroom Assignment section
  3. Select the appropriate classroom from dropdown
  4. Set assignment start date
  5. Add assignment notes if needed
  6. Save the assignment

Bulk Assignment:

  1. Go to Children → Bulk Assignment
  2. Filter children by criteria (age, grade, current assignment)
  3. Select multiple children
  4. Choose target classroom
  5. Set effective date for assignment changes
  6. Review and confirm assignments

Assignment History and Tracking

  • Assignment History: Track all classroom changes over time
  • Promotion Tracking: Monitor children moving up to next age group
  • Transfer Reasons: Document why children were moved
